Planate is a small business provider of planning, design, infrastructure management, technical consulting, engineering, and construction management services in support of the US Department of Defense (DOD) and its Service (Army, Air Force, Navy, Marine Corps) missions, along with other US federal agencies.
The Document Control Coordinator will be responsible for preparing and recording changes to official documents and confirm changes with legal and compliance management staff, including enterprise-wide records management staff. Also, exercise security surveillance over document processing, reproduction, distribution, storage, or archiving.
This is a Part-time job, work-from-home.
Conduct needs assessments to identify document management requirements of departments or end-users
Consult with end users regarding problems in accessing electronic content
Monitor regulatory activity to maintain compliance with records and document management laws
Monitor operational activities to ensure compliance with regulations or standard operating procedures
Implement electronic document processing, retrieval, retention and distribution systems in collaboration with Information Technology Group
Assist in determining document management policies to facilitate efficient, legal, and secure access to electronic content
Develop procedures for data management
Administer document and system access rights and revision control to ensure the security of system and integrity of master documents
Implement security measures for computer or information systems
Develop or configure document management system features, such as user interfaces, access profiles, and document workflow procedures
Retrieve electronic assets from the repository for distribution to users, collecting and returning to repository, if necessary
Keep abreast of developments in document management technologies and techniques by reviewing current literature, talking with colleagues, participating in educational programs, attending meetings or workshops, or participating in professional organizations or conferences
Update knowledge about emerging industry or technology trends
Search electronic sources, such as databases or repositories, or manual sources for information
Develop, document, or maintain standards, best practices, or system usage procedures
Write, review, or execute plans for testing new or established document management systems
Identify and classify documents or other electronic content according to characteristics such as security level, function, and metadata
Assist in the development of document or content classification taxonomies to facilitate information capture, search, and retrieval
Propose recommendations for improving content management system capabilities
Prepare support documentation and training materials for end-users of document management systems
Document technical functions and specifications for new or proposed content management systems
Analyze, interpret, or disseminate system performance data
Perform other responsibilities associated with this position as may be appropriate.
Qualifications To be successful in the role:
With basic to advance SharePoint knowledge is a plus
At least 3 years’ experience in document management
Attention to detail
Obtain positive results by influencing peers within and outside the immediate workgroup
Demonstrate successful handling and completion of multiple complex tasks
Critical thinking to enhance the system and/or customer experience
Interface with customers/colleagues/vendors or other external parties to define requirements and processes
Proficient in English both written and oral.
