This role is responsible for managing front-desk operations, performing routine administrative tasks, and supporting daily office activities. It plays a key part in maintaining a professional office environment and ensuring smooth coordination among employees, visitors, and service providers.
Key Responsibilities
Front Desk & Visitor Management
Serve as the first point of contact for all office visitors and candidates
Greet visitors professionally and manage sign-in procedures
Notify employees of visitor arrivals and coordinate meeting room usage
Handle incoming calls, emails, and general inquiries, escalating as needed
Administrative &; Office Support
Provide day-to-day administrative support to the Administrative Assistant
Receive, sort, and distribute mail, documents, and deliveries
Maintain basic office records, logs, and trackers
Assist in preparing simple reports, documents, and internal communications
Office Supplies &; Coordination
Monitor office and pantry supplies and report replenishment needs
Assist in placing orders and coordinating deliveries with suppliers
Track deliveries and report issues or shortages
Employee &; HR Coordination Support
Assist with onboarding and offboarding logistics (ID access, workspace setup, coordination schedules)
Support interview scheduling and candidate arrival coordination
Assist in internal events, meetings, and office activities
Office Environment & Security Support
Help maintain cleanliness, order, and professional appearance of reception and common areas
Support access card issuance and basic office security procedures
Report facility or safety concerns to the Administrative Assistant
Other Duties
Perform other administrative and support tasks as assigned
Act as backup support for basic office operations during peak period
Qualifications &; Skills
Minimum 1–2 years of experience as a receptionist, office assistant, or in administrative support
Prior experience in a corporate or office setting is an advantage
Knowledge of front desk operations and basic office procedures
Excellent written and verbal communication in English
Professional, courteous, and customer-focused demeanor
Strong organizational and multitasking abilities
High attention to detail and dependable work ethic
Discreet and responsible in handling confidential information
Proficient in core Microsoft Office applications (Word, Excel, Outlook)
