We are hiring a Concierge Operations Specialist to deliver flawless travel for high-net-worth international clients and to help build the systems that let us hold that standard as we scale. This role runs inside an AI-assisted workflow, so fluency with technology and curiosity about how AI can sharpen your work is essential.
What you'll do:
- Own client requests end to end, from intake through booking to follow-through, with zero dropped details
- Design personalised, day-by-day itineraries tailored to each client's style and history
- Secure and manage complex bookings: lie-flat flights, luxury hotels, and curated experiences
- Coordinate with vendors and partners, anticipating problems before they reach the client
- Maximise client loyalty points and travel credits across programmes
- Keep client records and travel profiles accurate across our systems (Notion, HubSpot)
- Use automation and AI tools to move faster and cut manual work
- Translate ambiguous requests into clear, executable plans and resolve issues calmly
What we're looking for:
- Meticulous attention to detail. You treat every message as a deliverable and never send without re-reading
- Polished written English, warm and professional, with native or near-native fluency
- Tech fluency and fast learning. You pick up new tools without hand-holding and are comfortable in AI-assisted workflows
- Calm under pressure. Last-minute changes and ambiguity do not rattle you
- Reliability and ownership. You follow through without reminders and never drop a thread
Strong plus:
- A technical or analytical background (engineering, finance, data, audit) now pointed at operations and client service
- A process or system you built from scratch that others adopted
- Background in luxury hospitality, travel, or high-touch client service
- VIP or HNW client experience
- Genuine passion for travel
